Abacus is seeking a flexible and adaptable individual to assist with the smooth day-to-day operation of a prominent office building in Douglas. The successful candidate will be an excellent communicator with strong organisational skills.
Duties will include:
- Monitoring the maintenance contract with a third-party service provider, ensuring scheduled work is carried out promptly and effectively
- Arranging ad-hoc maintenance, repairs, or cleaning as required
- Liaising with contractors, suppliers, and service providers to ensure the timely completion of tasks while minimising disruption to tenants and operations
- Working closely with the security system to ensure all security protocols are followed
- Key holder responsibilities for alarm call-outs
- Monitoring tenant adherence to the building’s Health and Safety Policy and assisting in maintaining up-to-date risk assessments and safety protocols
- Acting as the point of contact for tenants
- Covering for the Filing Administrator to fulfil filing/archiving requests.
Skills & competencies required to undertake the role:
- A team player with strong people skills
- Ability to manage time effectively to meet deadlines
- Diligently keep accurate records
- Flexible and adaptable in approach to tasks
- First Aid/Fire Marshal trained or willing to undergo training.
Experience & qualifications:
- Experience in facilities management, ideally overseeing maintenance contracts and repairs
- Familiarity with Health and Safety at Work regulations, with the ability to implement and monitor health and safety policies
- Proficiency in the use of MS Office applications (Word, Excel, and Outlook)
- Previous experience in a professional office environment
- Familiarity with security systems and emergency procedures.
